Overview & Live Dashboard

The Cirqle platform dashboard (the Live Operations Dashboard) is the scoreboard for your event or venue. Open it on a laptop during the shift. It monitors the venue’s fleet of reusable cups in real time: how many are out with guests, how many have come back, and whether the scanners on the floor are working.

The numbers update from scans the Cirqle platform receives. You do not type them in. If a number looks wrong, check that you are looking at the right venue and today’s shift before you change anything on the floor.

What am I looking at?

Four numbers matter during service.

Active in circulation

How many reusable cups in this venue’s fleet are currently out with guests, or sitting at a bar that is still serving. This number goes up while you are pouring. That is normal. It should start coming down when people head for the exits.

Return rate (%)

The percentage of served cups that guests have brought back.

Rule of thumb:

  • Indoor venues (arenas, clubs, theatres): aim for 90% or higher.
  • Outdoor festivals: aim for 80% or higher.

A high percentage with a huge queue at one bin still means you need another return point. The percentage says cups are coming back. The queue says they are all coming back through one door.

Active handhelds

How many mobile scanners (Nordic ID HH85 units) are turned on, connected, and working on the floor. A scanner that is in a bag, or has no Wi-Fi, does not count.

Compare this with the number of return points you planned to staff. If you planned four and only one is active, three points are not sending counts.

Pending batches

Groups of scanned cups that are still waiting for the venue computer to confirm them. They are sitting on a handheld until someone taps SEND BATCH. Until that happens, finance and this scoreboard cannot see those cups.

What to do if the numbers look low

Work down this list. Stop at the first thing that is true.

  1. No handhelds are active at a return point that should be staffed. The scanner is off, unpaired, or out of battery. See Devices and scanners.
  2. Handhelds are on, and pending batches are high. Staff are scanning and forgetting to send. Ask them to tap SEND BATCH before they move to the next gate. See How to scan cups.
  3. Batches are sent, and the return rate is still under the target. Guests are leaving with cups. Send more people with scanners to the exit gates and the paths out of the site. At an outdoor festival, roaming collectors on the way to the gates usually recover more cups than another bin behind the bar.
  4. Returns are high, but the bars are running out of clean cups. The wash pickup is late. Call logistics. See Washing and logistics.

Do not lower the target to make the shift look better. Add people, or send the batches that are already scanned.
